Description and Requirements

Are you ready to lead a team ensuring the seamless operation of a dynamic office space? We are seeking an experienced and proactive Facilities Manager to oversee all aspects of building management. You will lead a team to maintain critical systems, coordinate with internal departments and external vendors, and ensure our workspace remains clean, safe, and efficient for everyone.

Key Responsibilities:
  • Team Leadership: Manage and guide a team of maintenance staff, cleaning personnel, and contractors to deliver excellence in facility management.
  • Point of Contact: Act as the main liaison for internal departments and external service providers to address facility-related needs and ensure smooth communication.
  • Facility Operations: Oversee the day-to-day operations of the office, ensuring that all building systems are fully functional, reliable, and well-maintained.
  • Maintenance Coordination: Develop and implement schedules for preventive maintenance, handle emergency repairs, and manage unplanned maintenance tasks.
  • Cleanliness & Organization: Ensure the office environment is clean, organized, and well-maintained.
  • General Administration: Manage and develop processes for general administrative functions such as reception desk, mail and courier services, inventory of fixed assets, travel desk, stationery, car fleet, and stock management.
  • Budget & Compliance: Manage budgets for maintenance activities, monitor expenses, and ensure compliance with all relevant regulations.
  • Vendor Management: Coordinate with external contractors for repairs, upgrades, and specialized services.

Qualifications:
  • Experience: At least 3 years of experience in a similar role, overseeing facility operations and managing teams.
  • Education: A degree or certification in Facility Management or a related field is a plus.
  • Leadership Skills: Proven ability to manage and guide teams effectively.
  • Organizational Skills: Strong ability to prioritize tasks and oversee multiple projects simultaneously.
  • Languages : Proficiency in both English and German (minimum C1).
  • Problem-Solving: A proactive mindset with the ability to address challenges swiftly and effectively.
