We are the exclusive recruiters for the interim positions at the European Union Drugs Agency (EUDA) - the EU body responsible for monitoring, assessing, and addressing drug-related issues across the European Union. It plays a key role in public health and security by providing scientific evidence-based analysis, policy guidance, and coordination among EU Member States.
They are now looking for an Administrative Assistant to join them on an initial 12-month temporary (Interim) contract to start on 01/03/2025. Deadline to apply is Wednesday 19/02.
This is a full-time position, 40 hours per week, and candidates are required to be based in Lisbon, Portugal and to work in the office in Lisbon (you cannot work from home or from abroad).
You would perform responsible secretarial and administrative work for the SHR Unit (Substance use, harms and responses unit), and will provide assistance to the team in their day-to-day activities, under the supervision of the Head of Unit. Your responsibilities will include:
- Provide comprehensive administrative support to the SHR team.
- Manage and organise office documentation, both physical and electronic, ensuring easy access and retrieval.
- Schedule and coordinate meetings
- Perform general clerical tasks, such as booking missions and meetings and managing correspondence.
- Assist with special projects and other duties as assigned by the Head of Sector.
Profile:
- Secondary education or post-secondary qualification in Business Administration, Office Management, or related fields.
- 1-3 years of relevant experience in administrative or office support roles.
- Proficiency in handling day-to-day administrative tasks, including document management, filing, and scheduling.
- Strong organisational skills to manage multiple tasks, deadlines, and priorities effectively.
- Excellent written and verbal communication skills for internal and external correspondence.
- Ability to draft, proofread, and format official documents, reports, and meeting minutes.
- Proficiency in Microsoft 365 (Word, Excel, PowerPoint, Outlook, Teams).
- Experience with office management tools such as SharePoint, document management systems, or similar platforms.
- Fluency in English and at least one other EU language - Spanish, Czech, Danish, German, Estonian, English, French, Italian, Latvian, Lithuanian, Hungarian, Maltese, Dutch, Polish, Portuguese, Slovenian, Slovakian, Finnish, Swedish, Greek, Romanian, Bulgarian, Croatian, Norwegian, Icelandic
